Red Hat Subscription Order Requirements
for Red Hat Resellers

Red Hat Fulfillment Overview

Red Hat solutions are delivered as annual, renewable subscriptions. These subscriptions are fulfilled electronically to end-customers, providing immediate access to the services and benefits included in their purchase.

Below you will find detailed requirements for ordering Red Hat subscriptions. Please refer to these guidelines should you have questions about what is required for accurate and timely Red Hat subscription fulfillment.

Red Hat Order Data Requirements

Red Hat requires several pieces of information on an order to ensure subscriptions are fulfilled to the correct party and that all order details are recorded accurately.

Required Order Information

New Orders

The following information should be provided for each party named on an order: the Distributor, Reseller and End-customer:

  • Company Name
  • Company Address
  • Telephone Number
  • Contact Name
    • Note: The end-customer contact is the person who will utilize the subscription
  • Contact Email Address
    • An end-customer email address is required for electronic fulfillment
    • Email addresses for Distributor and Reseller parties allow Red Hat to provide updates on order fulfillment

  • If the end-customer is new and does not have an account, please indicate "New Customer" on your order.

Subscription Renewal Orders:

A Red Hat subscription renewal requires an extension of the end-customer's existing subscription. To accurately renew and extend a subscription, please indicate that you are placing a "Renewal" order.

In addition to the required order data detailed above, please provide the following information for renewal orders:

  • Renewal Part Number

Renewal part numbers (MCTXXXXRN) must be used to indicate a renewal subscription purchase. You can find a list of renewal part numbers at the following link: http://www.redhat.com/f/html/partners_us_skulist.html#renewal

  • Start Date of the Subscription Renewal

To extend the end-customer's subscription, the start date for the renewal must be provided on the order. (For example, if the existing subscription is set to expire July 15, 2007, the renewal start date specified should be July 16, 2007.)

Optional Order Information

The following data is not required for Red Hat subscription purchases. This data is, however, useful in locating existing customer records. By providing this data, you will help Red Hat quickly and accurately fulfill your orders.

  • Red Hat Login
    • Existing customers manage their Red Hat subscriptions with their Red Hat Network login. Generally, the person responsible for the technical management (or system administration) of the subscription knows the desired login for fulfillment.
    • If a login is not provided and can not be identified by Red Hat, a new account will be created.
  • Red Hat Account Number
    • The account number is an equivalent unique identifier which will provide the correct electronic location for fulfillment. The account number may be maintained by the end-customer's purchasing agent.
End-customer and Reseller purchase order numbers may also be provided on your sales order. This information will be recorded and may be referenced on communications sent to these parties (purchase order information will be communicated only to resellers).

Exception Orders

For each order you submit, Red Hat will validate that information for all 3 order parties has been provided:

  • Distributor
  • Reseller
  • End-customer

If an order does not clearly identify each of these parties, Red Hat will ask you for clarification so that the correct order parties can be recorded and the subscriptions are placed in the appropriate account.

You can help reduce order processing time and eliminate the need for Red Hat to ask for clarification. If the order you are submitting falls into one of the categories below, please make a note on your purchase order. This note will serve as confirmation of the exception category and will allow Red Hat to fulfill the order accordingly.

  • Managed Service Provider:An organization who manages IT assets on behalf of an end-customer
    • Organizations like these typically want Red Hat subscriptions fulfilled to their own account instead of an end-customer's account.
    • If your order falls into this category, please indicate "Managed Service Provider" on your purchase order.
  • System Builder: An organization who creates or integrates systems from individual components
    • If your order falls into this category, please indicate "System Builder" on your purchase order.
  • Not For Resale: Reseller party purchasing subscriptions for internal use
    • If you are selling Red Hat subscriptions to a reseller for their own consumption (not for resale) please indicate "Not for Resale" on your purchase order.
  • Subscription Co-termination: An order which aligns an end-customer's subscriptions to a common end date
    • If your order falls into this category, please indicate "Co-termination" on your purchase order

Benefits of Red Hat Electronic Fulfillment:

* Increased revenue through renewal reporting and lead lists.
The end-customer information you provide when placing an order is the only way Red Hat can drive end-customers back to you for renewal sales. Their on-line Subscription Center tool (rolled out to Resellers in the coming months) will enable you to run timely and effective renewal sales and marketing programs to grow your revenues and service your existing customers needs.

* Improved customer experience through immediate, electronic access Red Hat subscription services.
End-customers will be automatically entitled to their Red Hat subscription services upon order acceptance, ensuring customers gain immediate access to the software and services included in their Red Hat subscription. By automatically entitling and eliminating registration "keys," customers experience the full value of their Red Hat subscription from the subscription start date, improving customer retention rates at renewal time.

To ensure your end-customers are properly and electronically entitled to their Red Hat subscription services, it is important to provide accurate end-customer contact information on your Red Hat subscription orders.
